About Your Client:

Your client is a business and personal development coach who uses the Thinking Into Results framework created by Bob Proctor and Sandy Gallagher to help entrepreneurs “make the life-altering leap to more abundance.” She is based in Canada.

What You Will  Do:

  • Manage company inboxes and emails and respond to clients, contractors, and business contacts.
  • Draft and prepare correspondence, presentations, and reports with a high level of quality and professionalism.
  • Complete projects as assigned and proactively follow up on results.
  • Maintain a daily calendar, arrange calls, meetings, and conferences while making sure all details are handled in a clear and organized manner.
  • Ability to update websites and other tech platforms, working collaboratively with the creative team.
  • Manage website and client portal as well as upload blog posts, format newsletters, create schedules, and look for ways to improve and update to improve client experience.
  • Organize and manage YouTube accounts, podcasts, and promotions.
  • Support with online/virtual events, working collaboratively with team members.
  • Book travel arrangements, including lodging, transportation, and activities, both within Canada and internationally, for the executive team and client retreats.
  • Support with planning in-person client retreats and meetings.
  • Take on specific research assignments for comparing products, services, and various business and personal options.
  • Handle personal details ordering gifts, mail-outs for clients, etc.
  • Manage multiple incoming requests, while ensuring they are relayed or handled at the appropriate time, in the necessary order, and in the correct manner.
  • Set up new systems and processes to streamline business and personal functions.
  • Manage client portal to ensure content is kept up to date.

Skills and Qualifications:

  • High level of experience or ability to learn software applications such as Google Apps, WordPress, WIX, Infusionsoft, Kajabi, Thrivecart, Stripe, Paypal, Hellosign, Zapier, Success Engine, Acuity Scheduling, Youtube, Streamyard, Canva or similar applications.
  • Willing to learn new software – Client’s website and portal (training to be provided).
  • Pride of ownership over assigned responsibilities.
  • A high level of professionalism, integrity, respect, and confidentiality is a must.
  • Minimum of 2 years experience as a virtual assistant for a business owner.
  • Communicate effectively, both verbally and in writing.
  • Prioritize and adapt to a changing environment.
  • Highly organized and efficient.
  • Exercise flexibility, initiative, good judgment, and discretion.
  • Experience managing calendars.
  • Reachable during the hours of 8 AM – 6 PM Eastern and respond to messages within 2 hours.
  • Self-starter, self-motivated, and able to work independently with minimal oversight.
  • Experience with working with an online coaching business and interest in personal development and mindset is an asset.
  • High-level experience or ability to learn software applications such as:
    • Google Apps
    • WordPress
    • WIX
    • Infusionsoft
    • Kajabi
    • Thrivecart
    • Stripe
    • Paypal
    • Hellosign 
    • Zapier 
    • Success Engine
    • Acuity Scheduling
    • Youtube
